Approved Billing register

Note: The Approved Billing register will only appear if allow approved billing is enabled in settings

Note: To use approved billing, a project must have the Bill By field set to Approved billing in the project profile.

Use the approved billing register to import approved billing lines and create bills from approved lines.

Choose the Bills menu option from the left hand menu.

💡 The Bills menu option may have been renamed in your version of Payloader, for example it could be called: Billing or Invoices.

On mobile, first click the hamburger menu icon Menu in the top left of your screen then follow the instructions above.

Approved Billing filters​

Click the filter icon on the upper right of the screen to display the approved billing filters.

Additional filters​

Additional filters are also available in the title area of the approved billing register.

  • All: If no filter selected Payloader will search a range of key data fields (eg ID, name, notes etc)
  • Source
  • Contractor
  • Entered by
  • ABN
  • Reference
  • Notes

Import Approved Billing Lines (CSV)​

Click the large plus icon âž• on the right hand side of the approved billing register to display the Import Approved Billing Lines dialog.

Click Select file to browse for the import file, then click Upload to begin the import process. Payloader will log and report back any errors found when attempting to import the data.

Import file column order​

Approved billing import CSV file columns must be in the following order:-

Date, Billing Period, Site, Driver, Vehicle, Vehicle Type, Notes, Tip, Spoil, LineNotes, Qty, CostQty, Hours, DestinationWeight, SourceWeight, VehicleWeight, WbBillNumber, ExternalRef, AddressStreet1, AddressStreet2, AddressCity, AddressState, Email

Delete approved billing line​

Click the menu icon dots-v at the end of the corresponding approved billing line and select Delete. You will be prompted to confirm you choice.

Delete multiple approved billing lines​

Select the approved billing lines to delete using the check-box to the left of each line.

Click Select action from the select-box and select Delete selected then click the CONFIRM button.

Click the SUBMIT button to delete the selected approved billing lines.

Note: The Delete menu will not be available if the document is closed, currently with a driver or the current user does not have the correct authority to delete the document.​

Customise approved billing columns​

Export approved billing lines​

Select the approved billing lines to be exported using the check-box to the left of each line.

Click Select action from the select-box and select Export selected then click the CONFIRM button.

Select the export type:-

  • Export bills: Predefined column selection
  • Export bill lines: Predefined column selection
  • Export selected columns: Exports columns currently displayed on the screen

Click the SUBMIT button to export the bills or bill lines.

Create customer invoices (Billing)​

First select a project and a billing period from the approved billing filters menu.​

With a project and a billing period selected, click the tick icon check on the right hand side of the screen and choose Create Bills to display the billing screen.

Create bills​

Review the billing data for the project and billing period selected. If correct, click the CREATE button to create customer invoices.
